Refund Policy

This Refund Policy explains when and how refunds are available for services provided by Zenith Flow Tech, Inc. under the BookFellaz brand. This policy is part of our Terms of Service.

1. Overview

BookFellaz delivers custom creative work for authors, including book covers, websites, trailers, and SEO content. Because each project involves time and resources committed specifically to your work, refunds are governed by the stage of the project and the nature of the service.

We want clients to be happy with their work. If something is wrong, the first step is to tell us so we can fix it.

2. Deposits

If you cancel before creative production, design direction, development, writing, or first draft delivery has begun, we may issue a full refund minus any third-party costs already incurred (such as stock licenses, hosting purchases, domain registrations, AI tool credits, payment processor fees, or platform fees).

Once work has begun, the initial deposit (typically 50% of project cost) is non-refundable because it covers the time, planning, and creative resources committed to your engagement.

3. Refunds During a Project

If you are unhappy with the direction of the work, contact us in writing within 7 days of receiving a draft. We will work with you within the agreed revision rounds to resolve the issue. Most concerns can be addressed through revisions rather than refunds.

Partial refunds may be considered at our discretion if:

  • The agreed scope cannot be completed
  • We are unable to deliver due to circumstances on our side
  • Both parties agree in writing that the project should end early

Any partial refund will reflect the value of work already completed, third-party costs incurred, and time spent.

4. Final Delivery

Once final files have been delivered and you have approved them, the project is considered complete and no refunds are available.

If you discover a technical defect in the deliverables (such as a broken file, corrupted asset, or website function that does not work as agreed), contact us within 14 days and we will fix it at no charge.

5. Ongoing Services

For ongoing services such as monthly SEO content, hosting, or retainer engagements:

  • Cancel any time with 30 days written notice
  • The current billing cycle is not refundable, but you will not be billed for future cycles
  • Any deliverables already produced or scheduled in the current cycle will be completed and delivered

6. Non-Refundable Items

The following are non-refundable in all cases:

  • Work that has been completed and approved
  • Third-party costs incurred on your behalf (hosting, domains, stock assets, fonts, plugins, AI tool subscriptions, ad spend, platform fees)
  • Rush fees or expedited project fees
  • Discounts already applied (such as founding-client or promotional discounts)

7. How to Request a Refund

To request a refund:

  • Email hello@bookfellaz.com with the subject line "Refund Request" and your project name
  • Explain what you would like refunded and why
  • We will respond within 5 business days and discuss next steps

If a refund is approved, it will be issued to the original payment method within 10 business days of agreement, subject to processor timing.

8. Chargebacks

If you have a concern with a payment, contact us first before initiating a chargeback with your bank or card issuer. Chargebacks for completed work, services rendered, or work approved in writing may be disputed with the payment processor. Unresolved chargebacks may result in suspension of services and collection action for amounts owed.
